My coaches walk in not knowing who’s coming

Coaches plan a better session when they know who’s coming. ChatGPT or Claude can build each class’s list from your registrations and draft the email to your coaches. Your part is a quick read before you send it.

Every class means the same lookup, every week

Getting each coach the list of who’s coming usually falls to you. Before every class, you pull up the registrations, write down the names, note who’s on a drop-in or a makeup, and send the list to whoever is coaching.

How it works

Through PVR’s connector, your AI assistant reads the next day’s classes and registrations. For each class, it writes one email to the coaches working that class. The email starts with how many people are registered, then lists every name. Drop-ins, makeups and trial passes are marked, so nobody is surprised by a new face. A class you’ve canceled gets no email. You tell your assistant which coaches work each class.

With Gmail connected, each email is saved as a draft in your Gmail. You open your drafts, read each email, fix anything that’s off, and click send.

A scheduled task can have the drafts ready every evening. Once a run looks the way you want, a quick request in the chat saves the whole flow as a skill, so every run follows the same steps.

Connect your assistant to your live schedule and registrations. The results are only as good as the live data behind them: your registrations, recurring spots, makeups and billing, kept up to date in one place. PVR has a connector built to share that data.

What your AI assistant can and can’t do

PVR’s connector gives read-only access to your schedule, registrations and check-ins. That way, you never have to worry about anything in your business changing or a member getting a message you didn’t send. You’re the one in control.
